- Receive rent payments
- Issue statements on delinquent accounts
- Receive and invoice all bills
- Bill tenants for rent and authorized charges
- Maintain tenant security deposits
- Prepare monthly financial reports
- Prepare standard 5 day notices

- Issue and mail payments to vendors
- Forward delinquent accounts to attorney
- Notify owner of insufficient cash flow
- Maintain operating (escrow) account
- Provide documentation to accountant for tax/payroll preparation
- Issue 1099 forms to contractors

- Receive and respond to all telephone calls and correspondence
- Respond to tenant requests for authorized repairs
- Provide residents access to 24 hour voicemail and email concerning complaints or requests
- Consult with owners concerning disputes or extraordinary tenant requests or complaints

Showing/Renting Apartments: |
- Place owner paid and approved advertising for units
- Provide For Rent Signs
- Respond to calls and inquiries from prospective tenants
- Show apartments to prospective tenants
- Process rental applications from applicants
- Prepare leases
- Conduct move-in inspection to document unit condition
- Conduct move-out inspection to document unit condition
- Process tenant security deposits after move-out

- Obtain bids from potential contractors for maintenance and repair services requested by the owner
- Coordinate required repairs with vendor and tenant
- Obtain Certificates of Insurance from contractors
- Verify work completed conforms to contract terms
|
- Schedule routine maintenance tasks and coordinate their completion with appropriate vendors/contractors
- Maintain authorized vendor list and routine maintenance calendar
- Coordinate work orders with property maintenance staff
|
- Assist owner with capital improvement planning
- Promptly handle delinquent rent accounts and coordinate collection activities with owner's lawyer
- Provide advanced voicemail system to direct calls and a 24 hour emergency access number through our voicemail system
- Assist owner in selecting insurance broker, consultants, engineers, etc. if requested
- Provide pre-addressed mailing envelopes for payments
- Conduct periodic visual inspections of the property
